Give a WordPress content editor an individual account Print

Quick answer

Give each person their own account and the smallest role that supports their work. Ordinary content editing usually does not require Administrator access, which can expose plugin, theme, user, and site configuration controls.

Before you start

Confirm the correct WordPress installation, the person's business email, and which content types they need to edit. Roles can be extended by plugins, and multisite permissions differ, so inspect the actual account capabilities.

Steps

  1. An authorized administrator should open Users and add the new user through the normal account interface. Use the person's own email and an individual username rather than sharing an existing administrator login.
  2. Choose an appropriate content role, such as Editor for broad editorial work, after reviewing the capabilities needed on this site. A custom role may be appropriate for a narrow content type.
  3. Let the person complete the account setup through the supported invitation or password-reset flow. Keep passwords and recovery links out of shared project documents and AI messages.
  4. Have the user verify they can edit a designated test draft and cannot reach unrelated administrative controls. Apply any site-supported multifactor authentication and document the account owner.

Verify the result

The person should complete the assigned content task through their own login. Audit the account after project completion and revoke or reduce access that is no longer needed.

Troubleshooting and recovery

If the user cannot edit a page, check ownership, custom content capabilities, builder permissions, and multisite restrictions. Do not immediately grant full administrator rights to work around an unexplained permission problem.
