Quick answer
Test an Outlook rule with narrow matching criteria before applying it to existing mail. Client-only rules may require Outlook to be running.
Applies to
Historical reference for Outlook 2016 while moving to a supported mail client. Microsoft ended Office 2016 support on October 14, 2025. Classic Outlook, new Outlook and other clients use different menus. Preserve local-only mail and contacts before migration.
Steps
- Review existing rules, the mailbox and the destination folder. Preserve required mail before bulk actions.
- In the older interface, use Home > Rules > Create Rule and Advanced Options when needed. Set the exact condition, action and exceptions.
- Review the final rule description and whether to run it on existing messages, then save. Use cPanel/server filters when the required behavior must run at the mail service instead.
Check the result
Check matching and nonmatching messages and test behavior with the client closed where server-side execution is required.
Troubleshooting and support
For unexpected moves or missing mail, inspect overlapping rules and whether the destination is local or synchronized. Do not bulk-delete messages as a rule test.
If the problem continues, contact support from the account that owns the service. Include the domain, exact error, time and time zone, tool name, and a redacted screenshot. Keep passwords, private keys, cookies and private message content out of the ticket.
