Quick answer

Payment, fulfillment, return, and order status describe different parts of an order. A single badge does not prove that every operational or financial task is complete.

Applies to

For the owner or authorized staff of the selected Shopify store, with the permissions needed for this task. Shopify hosts the store separately from a cPanel hosting account. Features and workflows depend on the current Shopify plan, theme and apps.

Before you begin

Open the exact order rather than relying on a customer screenshot or a dashboard total. Confirm the order number, customer, currency, and latest Timeline entries.

What to do

  1. Review payment status to distinguish an authorization, a pending payment, a completed payment, and a refund. Do not treat an authorization as money already captured.
  2. Review each fulfillment and its location. An order can be partially fulfilled, and items can be assigned to different services or shipments.
  3. Check any return status and the Timeline for an outstanding return, inspection, refund, or exchange task.
  4. Before archiving or closing the order, confirm that its remaining work has been completed. Archiving an order is an organizational action, not evidence that it was paid or delivered.

Check the result

Compare the latest order details with the payment provider, fulfillment service, or carrier when a status is disputed. Record the time of each system's latest update.

If the problem continues

If the systems disagree, give support the order number, relevant status, integration name, and Timeline event. Avoid manually marking an order paid or fulfilled solely to make its badges look consistent.
