Quick answer
Create the return before refunding returned goods, then record inspection and the final financial outcome. A return record alone does not complete a refund or ship an exchange.
Applies to
For the owner or authorized staff of the selected Shopify store, with the permissions needed for this task. Shopify hosts the store separately from a cPanel hosting account. Features and workflows depend on the current Shopify plan, theme and apps.
Before you begin
Review the store's return policy, the fulfilled items, permissions, and the customer's request. Exchange features and enhancements can depend on the current plan or rollout; use only the options available to this store.
What to do
- Open the order and create a return for eligible fulfilled items that have not already been refunded. Record quantities and reasons.
- Review return shipping, any fees, and exchange items if supported. Send the customer the approved instructions or label through the available workflow.
- When items arrive, inspect them and process the return quantities actually received. Check restocking choices and any remaining balance.
- Issue the approved refund or collect the supported additional payment when appropriate. Fulfill exchange items separately and check stock at that point.
Check the result
Confirm the return status, inventory, refund or amount due, and any exchange fulfillment. Reconcile partial processing carefully so you do not refund funds that are needed to cover remaining exchange items.
If the problem continues
If Return or exchange options are missing, check eligibility, permissions, and plan availability. Send support the order state and error rather than deleting the order or issuing an unrelated new refund.
